Roll an RY in Mapping
All Reinsurance Years
The ability to roll field information from one year to the next was added to the Mapping module. There are two options for rolling:
The roll includes the crop and variety information that is assigned to fields in the previous year and will skip fields that are already in the new Reinsurance Year but add any fields that are not—so as to avoid the duplication of fields. This function is only available to users with the proper permissions.
1. | To access this feature, click Tools and then click “Roll Field(s)” option. The Roll Fields panel opens. |
2. | On the Roll Fields tab, from the dropdown, select the Reinsurance Year (RY) you want to roll the field information from, and then in the adjacent dropdown, select the Reinsurance Year you are rolling to. These dropdowns is limited to only the active RYs for the policy. |
3. | Mark the Include Custom Labels checkbox to include all user-created custom labels in the roll. |
4. | Mark the Include crop information checkbox to include the crop information in the roll. |
5. | Mark the Include POR/POI checkbox to include the PORs/POIs when rolled. |
6. | Click Roll Grower Fields to roll those fields to the selected RY. A completion message displays in the top portion of the Roll Fields panel when this has been completed. |
1. | Click Tools > Roll Field(s). Select the Batch Roll Fields tab. The Roll Fields panel opens. |
2. | Select the Batch Roll Fields tab. Select the Reinsurance Year (RY) you want to roll the field information from, and then in the adjacent dropdown, select the Reinsurance Year you are rolling to. These dropdowns is limited to only the active RYs for the policy. |
3. | In the Filtering options, use one or more of the available criteria to refine the scope of the fields you want to roll: |
• | Agency (single select): Roll only fields from a particular agency. |
• | Agent : Roll only fields related to a specific agent(s) based on the agency selection and the Roll From year selected. |
• | State (multi-select): Roll only fields that are physically located in the state selected. |
• | Crops (multi-select): Roll only fields that are assigned to the crop or associated to a coverage with the crop selected. In the planting dialogue, there is an option to assign a field to a crop without being associated to a coverage, these fields will also be included using this filter. Fields assigned to a custom crop that isn’t associated to an “RMA” crop will not be included. |
• | Sales Closing Date: list of available sales closing dates for the “ROLL TO” year – roll only fields that are associated to a coverage with the selected date. Fields not assigned to a premium line/coverage will not be able to roll using this filter. |
• | Acreage Reporting Date: list of available Acreage Reporting Dates for the “ROLL TO” year – roll only fields that are associated to a coverage with the selected date. Fields not assigned to a premium line/coverage will not be able to roll using this filter. |
• | Policies to Batch: Roll only specific policy numbers that fit the above criteria by keying the policy number(s)—separating each new number with a comma (e.g., 1234567, 23045021). |
• | Policies to Exclude: Roll all policies that fit the selected criteria except specific policy numbers by keying the policies to skip rolling maps for)—separating each new number with a comma (e.g., 1234567, 23045021). |
4. | Mark the Include Custom Labels checkbox to include all user-created custom labels in the roll. |
5. | Mark the Include crop information checkbox to include the crop information in the roll. |
6. | Mark the Include POR/POI checkbox to include the PORs/POIs when rolled. |
7. | Select the Batch Roll Grower Fields button. The System will roll all POIs, Map Regions, and grower fields that exist for that agency. |
A log now displays at the bottom of the Batch Roll Fields tab to show the three latest batch rolls and the corresponding logs that show all the information that was rolled (7).
