Add a Grower

All Reinsurance Years

The steps for adding a grower are the same regardless of the Reinsurance Year (RY) you enter the Grower Wizard from. However, certain grower designations (like Beginning Farmer/Rancher) can only be added by editing the grower's record within the policy so that RY-specific options are available for election. can only be added to a grower record after it's been created and only from within a specific Reinsurance Year to ensure that those elections are only applied to the years RMA has approved.

1. In the Search bar, from the Year dropdown, select "All" and then select "Grower Name".
2. In the Search field, type the name or a partial name of the grower and click Go. The System displays the results on the View Growers page.
3. If there's not a result for the name you typed, click Add Grower. The Add New Grower page opens.
4. In the Agency Information section, select an agency from the Agency dropdown.
5. If the grower wants to apply payments from indemnity to unbilled crops, mark the Apply Payments from Indemnity to Unbilled Crops checkbox.
6. From the Tax ID Type dropdown, select the type of identification the grower provided. Your options are:
SSN
EIN
RMA Issued
Bureau of Indian Affairs
7. If the grower has requested a Tax ID but has not received a number, mark the W-9 Received checkbox to indicate that they've provided a copy of the W-9 request.
8. In the Tax ID field, type the number for the Tax ID selected in step 6.
9. To verify the grower's Tax ID (if required for Step 8) through the IRS eService Verification program, the Verify TIN checkbox is marked by default and is read-only. Once this information has been received from the IRS, the Verified State and IRS Status codes will populate.
10. From the Entity Type dropdown, select the type of entity the grower qualifies as. The remaining fields may change based on this selection. If "Corporation" or "Limited Liability Corporation" is selected as the Entity Type, then a State of Incorporation dropdown displays for selecting that state of the entity.
11. In the Grower Information section, in the Title field, type the title to use for the grower.
12. If the grower is an individual, in the First Name, Middle Name, Last Name,and Suffix fields, type the grower's corresponding names in each field. If the grower is a business, skip to step 15.
13. If applicable, to indicate the grower is doing business under another name, type the name in the Doing Business As field.
14. If applicable, type a name in the In Care Of field. This will print on forms.
15. If applicable, if the grower is a business, type the name of the business in the Business Name field.
16. In the Address Type field, select the type of address the prospect is providing. Your options are:
Mailing
Billing
Check Print
International
Physical
RMA Import
17. In the Address 1 and Address 2 fields, type the address in the accepted format for the Address Type selected in step 16.
18. In the City field, type the city of the Address Type selected.
19. From the State dropdown, select the state of the Address Type. In the ZIP and Extension fields, type the ZIP Code plus four digits for the Address Type.
20. The System supports up to three phone numbers for the grower. In the Phone 1, Phone 2, and Phone 3 fields, select the phone type from the dropdown and type the corresponding phone number. A Phone Ext. is provided for the last phone field.
21. In the E-mail Address field, type the grower's email address. This prints on forms.
22. To indicate a grower is not proficient in English, mark the Limited English Proficiency checkbox. A Preferred Language field will display. Type the grower's preferred language in the textbox.
23. To save or discard your changes, do one or more of the following:
To save the new grower record but stay on the page, click Save.
To save the new grower record and return to the View Growers search results page, click Save & Exit.
To discard your changes and return to the View Growers search results page, click Cancel.
